Nobody Notices Your Inventory Until It Is Wrong
Accurate inventory is invisible. Nobody calls to say the website matched the lot again this morning. What people notice is the other version: a shopper drives across town for a car that sold on Tuesday, a salesperson spends twenty minutes finding out it is gone, and both of them come away thinking rather less of the dealership than they did at breakfast.
✓This is what happens to a vehicle between your DMS and the shopper looking at it — how it arrives, how it is kept straight, and how it leaves again when it sells.
The Life Of A Vehicle Record
When the feed arrives
Your DMS, Store By Store
Inventory comes in from the system you already run your dealership on, and it is processed per lot rather than as one undifferentiated pile. A group can therefore have each store bring its own feed — and those stores do not all have to be on the same DMS to sit on the same website.
When there is no feed for it
Added By Hand
Not every vehicle arrives in a feed. A consignment car, a trade that has not reached the DMS yet, or a store that does not run one at all — any of them can be entered directly in your admin and behaves exactly like an imported vehicle from that point on.
When a vehicle is read
Matched On The VIN
Every vehicle is identified by its VIN within your dealership, so a car that is already on the site is updated rather than posted a second time. A price drop, a mileage correction or a new set of photos lands on the listing that is already there, and shoppers never meet the same car twice with two different prices.
When a car stops appearing
Deactivated, Not Deleted
A vehicle that has dropped out of your feed comes off the website without anybody having to remember to remove it — which is the step that gets missed on a busy Saturday. The record itself is kept rather than destroyed, so the car that sold last month is off the lot without being erased from your history.
When the photos come in
Processed On The Way In
Vehicle photos are converted to WebP and prepared at several sizes as they are imported, so a search results page serves a thumbnail-sized image into a thumbnail-sized slot instead of pushing the full original down a phone connection. The photographer's workflow does not have to change for this to be true.
When the page is built
A Web Address That Reads Like The Car
Each vehicle page gets a readable address built from its condition, make, model, location and VIN rather than an opaque record number. It is the difference between a link a shopper can read before clicking and a string of digits, and search engines take the same view of it that people do.
When the listing goes out
Advertised From The Same Records
The listings you syndicate to the marketplaces you advertise on are built from this same set of vehicles, not from a second copy maintained alongside it. One source means a car that has sold stops being advertised everywhere at once, rather than lingering on whichever destination somebody forgot.
The Engine And The Instrument Panel
Everything above is the pipeline doing its work: vehicles arriving, being matched, being retired, being published. What it does not tell you is whether last night's run actually went the way it was supposed to. That is a separate question, and it has its own answer.
✓Think of this page as the engine and Inventory Monitor as the instrument panel: every run recorded with how many vehicles landed and how many did not, kept in your own admin so a feed that has gone quiet is something you can see rather than something you find out about. Running several stores? Multi-Location Support covers how each rooftop keeps its own feed and its own details.
What It Requires
What we need from you
A feed from your DMS provider, and your permission for us to receive it. We work with the systems our dealerships already use and take on new ones as they come up, so the question is rarely whether your inventory can be read — it is usually just who at your provider signs the request.
On our side
Matching, photo processing and vehicle page addresses are simply how your inventory runs here. There is nothing to switch on and nothing extra to buy for a car to arrive complete.
Tell us who supplies your inventory and we will tell you what it takes to point it here. Every dealership's inventory is a little different, so pricing is a conversation rather than a table.
Or email support@carcasm.com and a real person will read it.
